A walkthrough of the rsLog platform

A guided tour, from the public site and national dashboards to the workflow that turns facility records into the reports that feed Ghana's national health system.

rsLog platform walkthrough

Why it exists

From month-end arithmetic to data you can use

rsLog replaced a paper-bound process with one digital platform, so the numbers that reach the national system are timely, consistent, and worth acting on.

The old way: paper-bound

  • Manual, fragmented recordsService, commodity, and report data lived in separate books that did not talk to each other.
  • Late, inconsistent reportingMonthly summaries compiled by hand were often late, and the numbers did not always agree.
  • Weak client trackingPaper made it hard to link a client's visits over time for continuity of care.
  • Little data useWith data trapped on paper, managers had limited visibility and commodity stock was hard to monitor.

The rsLog way: one digital platform

  • One integrated platformServices, commodities, and reports now sit together instead of in separate registers.
  • Automated, timely reportingThe month-end arithmetic is gone, replaced by consistent figures generated from the records.
  • Visibility and accountabilityPerformance can be seen at facility, district, regional, and national levels.
  • Efficient commodity and client managementStock is tracked as it moves, and clients can be followed over time.
What it does

Six core functions in one system

rsLog covers the full range of family planning and comprehensive abortion care work, not a narrow slice of it.

FP client transactions

Records new and existing family planning acceptors, the methods they choose, and counselling outcomes by provider, cadre, and session type.

CAC service records

Captures comprehensive abortion care daily logs, procedure types, gestational age, complications, and post-abortion contraception.

Monthly reporting

Auto-generates FP and CAC monthly reports aggregated from facility records, submitted up to district, regional, and national levels.

Commodity stock tracking

Tracks stock on hand for all contraceptives and CAC medicines, including receipts, issues, adjustments, balances, and stockout alerts.

Programme dashboards

Presents FP and CAC performance for facility, district, regional, and national managers, including uptake trends and reporting completeness.

Role-based access

Gives each user the permissions appropriate to their role, with full activity audit logs across the system.

NewCAC commodity stock management. The comprehensive abortion care module now tracks misoprostol and mifepristone-plus-misoprostol stock alongside the daily log, with quantities feeding directly into the CAC monthly report. Stock transactions cover received, damaged, demonstration, expired, and lost.
A closer look

Designed around the real work of providers

Every screen maps to a step a provider actually takes, on a phone, in a facility, often without a connection.

Point of care

Record services where care happens, offline

Providers log family planning and CAC services on a phone during the session. No live connection is needed to record a service, so work never stops when the network does.

  • New and returning clients, methods, and counselling outcomes
  • Captured by provider, cadre, and session type
  • Syncs automatically once a connection returns

Comprehensive abortion care

The full CAC episode, captured cleanly

The CAC module records the whole care episode by age group, from counselling and presentation through evacuation method, complications, referrals, and post-abortion family planning.

  • Daily logs, procedure types, and gestational age
  • Complications and referrals recorded in context
  • Post-abortion contraception linked to the visit

Commodities

Track every commodity as it moves

Stock for all contraceptives and CAC medicines is tracked as it is received, issued, and adjusted, so balances stay accurate and stockouts are caught before they happen.

  • Receipts, issues, adjustments, and running balances
  • Stockout alerts before shelves run empty
  • Quantities feed straight into the monthly report

Reporting

Close the month, generate the report automatically

When a facility closes its reporting month, rsLog generates the FP and CAC monthly returns as PDFs, drawn straight from the records, with no manual tallying.

How it works

From the point of care to the national system

Five steps take a service from a phone in a facility to clean numbers in Ghana's national HMIS.

1

Record

Provider enters services and commodities at the point of care, offline.

2

Sync

Data syncs to the server once a connection is available.

3

Close

The facility closes the reporting month to finalise its records.

4

Report

FP and CAC monthly returns are generated automatically as PDFs.

5

Feed DHIMS2

Clean summaries flow into Ghana's national HMIS, DHIMS2.

Built for the field

Three variants, one system

rsLog meets facilities where they are, including places with limited or intermittent connectivity. All three share the same data and the same logic.

Online

rsLog Web

Online portal for system administration and for report and data extraction. Used mainly at national level.

Offline

rsLog Mobile

Offline Android and iOS application for data entry and reporting at the facility, syncing when connected.

Offline

rsLog Desktop

(Discontinued)

Offline Windows desktop application for data entry where a computer suits the facility better than a phone.

Offline-first by design. A provider does not need a live internet connection to record a service. Connectivity is only needed to sign in and, later, to sync data to the server. This is the single most important design decision for any setting where connectivity cannot be taken for granted.
Live and test environments, kept separate. The system runs a Live Portal for real national administration and reporting on production data, and a clearly marked Test Environment for training and onboarding where no real programme data is affected. The Android app mirrors this with Live and Test modes, switched from the login screen.
A note for evaluators

rsLog complements the national system, it does not duplicate it

Ghana's national HMIS is DHIMS2. rsLog does not replace it or compete with it. It captures the detailed, individual-level transactions at the facility, then generates the monthly family planning and safe abortion summaries that are entered into DHIMS2.

In other words, it feeds the national system with cleaner, more reliable numbers rather than creating a parallel one, and it captures the complete facility caseload, including services and commodities supported by partners.

What the monthly reports contain

  • Family Planning Monthly Return (Form B) — registrants by age, a full commodity ledger, and acceptors by method, age, and marital status.
  • CAC Monthly Reporting Form — the full care episode by age group: counselling, presentation, complications, evacuation methods, referrals, and post-abortion family planning.
